Privacy policy

This policy explains which personal data we process when you visit mindphair.ch, register a company for the fair, write to us or attend MindPhair. It follows the Swiss Federal Act on Data Protection (FADP / nDSG).

Who is responsible

VMP – Verein der Mathematik- und Physikstudierenden an der ETH Zürich
c/o MindPhair, CAB E33, Universitätstrasse 6
CH-8092 Zürich

Visiting the website

The website runs on WordPress and is hosted by the IT service of VSETH. When you open a page, the server records standard access data: the page requested, date and time, the referring page, browser and operating system, and your IP address. We need this data to deliver the site, keep it secure and investigate faults. It is not combined with other data.

Analytics (Matomo)

We count visits with Matomo, an analytics tool that VSETH runs on its own server (analytics.vseth.ethz.ch). Your data is not passed to Google or other analytics providers. Matomo sets two cookies: _pk_id (recognises returning visitors, up to 13 months) and _pk_ses (groups the pages of one visit, 30 minutes). We use the figures only to see how many people use the site and which pages they read. You can block these cookies in your browser at any time; the site works without them.

Other cookies

pll_language remembers whether you read the site in German or English (1 year). Team members who log in to edit the site receive WordPress login cookies. We use no advertising cookies and no tracking pixels.

Fonts

Typefaces are loaded from Google Fonts. Your browser therefore contacts Google’s servers, which may be located outside Switzerland, and transmits your IP address.

Company registration

Companies that register for MindPhair give us: company name and description, contact person (name, email, telephone), invoice address, the texts and logos for the Fair Guide, booth and event choices, and any files they upload. We use this data to organise the fair, to send confirmations and invoices, and to print the Fair Guide. The Fair Guide texts and logos are published on purpose, in print and on this website.

Registrations are stored in our WordPress database. Confirmation emails are sent through the mail server of ETH Zürich. Invoices are issued and kept by the treasurer (Quästur) of VMP. We keep registration data as long as we need it for the fair and its follow-up; accounting records are kept for ten years as required by Swiss law (Art. 958f CO).

Contact by email

If you write to contact@mindphair.ch, we receive your address, your message and any attachments. We use them only to answer you and to organise the fair, and we delete them when they are no longer needed. Email is not encrypted end to end; please do not send sensitive information that way.

Photographs at the fair

The MindPhair team takes photographs and short videos at the fair to document it and to advertise future editions on this website, in printed material and on our Instagram and LinkedIn channels. Signs at the entrance point this out. If you do not want to appear in a picture, tell the photographer on the day or write to contact@mindphair.ch, and we will not publish it or will remove it.

Who receives data

We pass personal data only to those who help us run the fair: VSETH (hosting, analytics), ETH Zürich (email delivery, venue permits), the VMP treasurer (invoicing) and, where needed for a booth, our fair construction partner. We do not sell personal data. Apart from the Google Fonts request above, data is processed in Switzerland.

External links

Links to Instagram, LinkedIn, YouTube and other sites lead to services we do not control. Their own privacy policies apply once you follow such a link.

Your rights

You may ask us which personal data we hold about you, have it corrected or deleted, receive a copy, and object to its processing. Write to contact@mindphair.ch. If you believe we process your data unlawfully, you can complain to the Federal Data Protection and Information Commissioner (FDPIC, edoeb.admin.ch).

Changes

We update this policy when the website or our processing changes. The version published here applies. Last updated: October 2026.
